Position Summary Client is seeking a skilled and motivated Project Coordinator to support and manage its IT project intake process. This role is essential in coordinating project-related activities across various departments, ensuring successful onboarding, tracking, and reporting of IT projects. The ideal candidate will bring strong organizational and communication skills along with hands-on experience using Monday.com to streamline project workflows.
Key Responsibilities
Coordinate and manage the project intake process including documentation, tracking, and reporting.
Provide analytical and administrative support to the IT Governance Manager.
Monitor project progress, maintain issue and risk logs, and ensure timely resolution of potential risks and hazards.
Maintain project documentation, including project files, logs, and stage gate materials.
Organize and facilitate monthly Board meetings, including PRB (Project Review Board), ARB (Architecture Review Board), and Steering Committees.
Work closely with internal teams to coordinate project activities and ensure alignment with governance protocols.
Document and present interim project results; collaborate with management, project review boards, and steering committees.
Assist in change order management, document control, and project tracking.
Prepare high-quality project reports, correspondence, meeting minutes, and other related documentation.
Ensure contract compliance and process project-related invoices in collaboration with the AIM business office.
Support final project reporting and handover of project deliverables.
Required Qualifications
3–5 years of experience in a Project Coordinator or Administrative Coordinator role, preferably within an IT or government environment.
Hands-on experience with Monday.com as a project tracking and collaboration tool.
Strong written and verbal communication skills.
Excellent organizational and multitasking skills with attention to detail.
Ability to work independently and manage multiple work streams simultaneously.
Comfortable working in a team-oriented, deadline-driven environment.
Entry-level knowledge of MS Project Professional and SharePoint.
Understanding of basic project management practices and lifecycle concepts.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Preferred Qualifications
Experience coordinating project governance or working with government agencies.
Familiarity with change management and documentation control processes.
Knowledge of IT project frameworks and methodologies.
